• Purpose: To verify employee identity and maintain accurate attendance records ("Face Attendance").
• Storage: Facial images are transmitted to our secure backend server and are not stored permanently on your device.

2.2 Location Data (Geofencing & Tracking)

• GPS Coordinates: We collect your precise location (latitude and longitude) during check-in, check-out, and continuously during monitoring sessions.
• Geofencing & Radius Check: The app checks your location against the designated office radius to determine if you are "Inside" or "Outside" the premises.
• Status Updates: The system automatically notifies the administrator when you enter or leave the designated office perimeter.
• Background Location Tracking: If enabled for your role, the app may continue to track your location in the background to send "Inside/Outside" status updates to the admin even when the app is minimized.
• Purpose: To ensure workplace compliance, verify attendance is marked within office premises, and monitor movement relative to the work site.

2.3 Audio Recordings

• Early Checkout Reasons: The app records your voice (typically up to 8 seconds) when you provide a reason for checking out early.
• Purpose: To maintain verifiable records of early checkout justifications for HR review.
• Storage: Audio files are temporarily stored on your device and transmitted to our backend server, then deleted from your device.

2.4 Personal Information (Received from Server)

• What the app receives: After facial recognition by our backend server, the app displays employee information (name, employee number, role, work location) that is already stored in our database.
• Purpose: To show you confirmation of successful attendance recording with your employee details.

2.5 Attendance Records

• Data Generated: Check-in time, check-out time, and working hours are calculated and stored by the backend server.
• Purpose: To display your attendance history and provide data for payroll and HR management.

2.6 Technical Data

• Session IDs: Unique identifiers to link facial recognition, location, and voice data during a single attendance transaction.
• Network Status: The app checks internet connectivity locally to manage reliable data transmission.

• Voice Recording: To document reasons for early departures using your voice.

4.2 By Our Backend Server:

• Identity Verification: To match your face against your registered profile.
• Location Validation: To confirm that check-in/out occurred at the correct work location.
• Movement Logging: To log "Inside" and "Outside" events for productivity and safety monitoring.
• HR & Payroll: To calculate working hours, manage leave, and process payroll based on verified attendance.

5. Data Transmission and Storage

5.1 Backend Server

• Secure Transmission: All data is transmitted to our secure VIPRAS TECH SOLUTIONS servers via HTTPS.
• Authentication: API keys and session tokens ensure only authorized devices can send data.

5.2 Local Storage and Auto-Deletion

• Temporary Buffering: Captured photos and audio are stored temporarily on your device only until they are successfully uploaded.
• Automatic Cleanup: Once uploaded, these files are deleted from your device storage to protect your privacy and save space.

6. Data Sharing and Third Parties

6.1 Google ML Kit

• Face Detection: We use Google's on-device ML Kit to detect faces. This processing happens locally on your phone and no facial data is sent to Google.

6.2 No Third-Party Sharing

• We DO NOT sell or share your personal information with third-party advertisers or data brokers.
• Data is shared strictly with your employer/organization for management purposes.

7. Data Security

• Encryption: Data in transit is encrypted using industry-standard protocols.
